What I’ve learned from photographing over 1,000 events

After photographing more than 1,000 events since 2015 — ranging from corporate conferences and nonprofit galas to grand openings and community festivals — I’ve come to realize that there’s so much more to event photography than simply “showing up and taking photos.” Behind every successful event gallery is a mix of experience, intuition, planning, and adaptability.

Here are some of the biggest lessons I’ve learned over the years:

1. The details matter just as much as the big moments

Yes, I’m there to capture the keynote speaker or the ribbon cutting, but it’s the small things that bring a gallery to life. The floral centerpieces, branded swag, signage, lighting, name badges, and candid handshakes all contribute to the event’s story. Clients love when their brand and personality shine through in those in-between moments.

2. Preparedness is everything

Every event is different, but my preparation list isn’t. I’ve learned that showing up early, knowing the run-of-show, scouting lighting conditions, and having backups (for both equipment and files) can mean the difference between a smooth shoot and a stressful one. Murphy’s Law applies to events — and I plan accordingly.

3. Being invisible (but present) is a superpower

Some of the best photos happen when people forget I’m there. I’ve learned how to blend in, capturing real, unscripted moments without interrupting the flow.

At the same time, I know when to step up, give light direction, or wrangle a group shot. It’s a balance of presence and discretion.

4. Communication is key — before, during, and after

Whether I’m working with a corporate marketing team or a small nonprofit staff, clear communication is critical. I’ve learned to ask the right questions upfront — about goals, must-have shots, and timelines — so I can deliver exactly what my clients need. And after the event, I keep the process just as smooth with timely editing and easy delivery, with most event photos delivered within 48 hours.

5. No two events are the same, and that’s the fun of it!

I can photograph 20 events in a row, and every single one will have its own vibe. Some are high-energy and loud; others are intimate and reflective. I’ve learned how to adapt my approach to fit the tone, pace, and purpose of each event. That variety is what keeps this job fresh and creatively rewarding.

6. People remember how you made them feel

Of course, clients remember the photos, but they also remember how easy (or stressful) you were to work with. I take pride in being reliable, calm under pressure, and genuinely invested in their success. At the end of the day, my goal is to deliver not just great photos, but a great experience.


Photographing over 1,000 events has given me more than a portfolio — it’s given me perspective. I’ve seen what makes events run smoothly, what clients really value, and how to create visual stories that resonate long after the chairs are stacked and the lights are off.
